A court-recognized business address is an address you rent and at which you or your company can be reached with legal effect. Letters from authorities, court deliveries and business mail are received there on your behalf. This is required by the Austrian Commercial Register Act (Firmenbuchgesetz); a P.O. box is not sufficient.

Virtual means: you do not rent your own office, but use an already established address for mail, your imprint and the commercial register entry. The Austrian Commercial Register Act (Firmenbuchgesetz) requires every registered entity to record its seat and the business address relevant for service. A P.O. box or a bare nameplate without delivery capability does not meet that.

Seat and business address are two separate entries. The seat is a municipality, Vienna for example, and is set in the articles of association. The business address is the specific address with street and house number. The Business Service Portal of the Republic of Austria (USP) puts it this way: „Im Gegensatz zum Unternehmenssitz ist die Geschäftsanschrift eine Adresse, die für die Zustellung maßgeblich ist. Sie muss ebenfalls im Firmenbuch eingetragen werden.“
What matters is deliverability. The Commercial Register Act lists what has to be recorded and names the seat and the business address relevant for service. Proof of ownership of the property is not among them. Renting an address and sharing it with other companies is therefore permitted as long as delivery works.
The location agreement is your evidence. Postservice.at issues the written consent declaration of the address holder within one business day, which your notary attaches to the commercial register application. You can book the address before incorporation and state it in the founding application.
A later change runs through the commercial register court. If the new address stays within the same municipality, the seat does not change and a simplified filing without notarial certification is enough. If the municipality changes, the articles of association have to be amended first and notarial certification is added.
